Block Management

 

Having dealt with the management of blocks and flats for over 10 years, we consider ourselves to be one of the most competitive around, both on cost and knowledge. Our office is situated within Lancaster city centre, convenient for you to easily call in to inspect any associated documents, report any faults or air any concerns you may have. No appointment is necessary.

 

We are sensitive to the nature of living in a flat and always treat problematic situations in the strictest of confidence. We pride ourselves on the close working relationships we have with each of our managed blocks and will never arrange and authorise works that have not been first approved by the Committee or Directors. In short. We offer that one to one service that out of town corporate agents often can’t. We endeavour to deal with issues as soon as they arise.

 

Each of our blocks are unique and for this reason we do not insist on a set agreement but tailor our services to meet your requirements. Listed below is a universal list of duties we undertake but if there are some you don’t require, or additional duties you do, we are happy to discuss it.

 

Collection of Service Charge

Arrange General Maintenance and Settle Accounts from Available Funds

Produce Annual Spending Estimates to Calculate Service Charges and Reserves

Produce Service Charge Accounts and Supply Reasonable Information to Leaseholders

Administer Building and Other Insurances if Instructed and Authorised

Arrange and Manage Contracts or Services, such as lifts, etc.

Keep Records on Tenancies

Prepare Statutory Notices

Deal with Consultations where the L&T Act as amended by CLARA 2002 are to be exceeded

Arrange Insurance Claims

Make available any relevant documents for inspection

Prepare year end accounts for submission to accountants

Ensure compliance with Companies House at all times

Retain Company Books and ensure shareholder information is up to date

Prepare and distribute notices for Annual/Extraordinary General Meetings

Arrange day to day repairs and maintenance

Ensure clients’ money is kept separately and properly accounted for. We insist each of our blocks have their own bank account and not a centralised agency account where all service charge monies for every block are paid. You keep any/all bank interest.

Regular Reconcile of Bank Accounts
